How to send a fax or email with the SU Printer

SEND A FAX:

Are you sending a fax outside the 314 area code?

  • If so that is classified as a long distance fax and you will have to go into the SU office and either have one of the Business Coordinators or the downstairs SU receptionist send the fax for you.

Are you sending a fax within the 314 area code?

If so follow these steps:

  1. Make sure you are at the first floor printer, if you are at the second story printer this will not work.

  3. Login with your student group account number and password.

  5. Click “Send/FAX” on left hand panel of the copy machine.

  7. On the right side of the screen choose “FAX No. Entry”. Then type “9” followed by the area code aka 314 and then the number you want to fax to. Click “ok” when you are done inputting the number.

  9. Load your paper or image face up on the tray as shown and click start. You will hear a ringing tone followed by beeping and if it goes through you will hear strange fax sounds that sound like a space man experiencing sound interference.

  10. To see if your Fax went through or not press “Status/Job Cancel” on the left hand panel of the copy machine. You can do this while the printer is making noises and it will list your job and say either “waiting” or “sending” and then disappear. “Waiting” means that the fax is waiting to be accepted on the other end, “sending” means the fax has been accepted and is sending.

    • Note: If you do not hit “Status/Job Cancel” you will not receive any inkling of if your fax actually went through, so don’t expect a message stating the status of your fax to appear on the screen.
  11. Click the “log” tab at the top to see if it sent. If it successfully sent your job should say “completed” if it says “cancelled” or “error” then it did not go through. “Cancelled” means maybe someone wasn’t there to accept the fax, in which case it may be a good idea to call whoever you are trying to send a fax to and give them a heads up that you are trying to send a fax. If it says “error” then you may have input an incorrect number or something mysterious went awry and you should try again or ask for assistance.

SEND AN EMAIL:

  1. Make sure you are at the second floor printer, if you are at the first story printer this will not work.

  5. Place what you would like to be scanned and sent to you on the scanner as if you were planning on making a copy. Or on the top tray as depicted below.

  7. Click the “Fax/Scan” button then press the “Direct Input” tab at the top of the screen and choose “e-mail”

  9. Type in the email you intend on sending a scan to, be careful to type this in correctly as the buttons on the touchscreen like to mess with you a little sometimes. To make doing this easier you can click the “enlarge on” button at the bottom right of the screen.

  10. If you intend to email this to more than one destination click “next destination” at the top left of the screen.

    • If you are sending an email to someone else (not yourself) and are worried it won’t send, you can add your own email in this step and if you receive the email it means all your inputted email destinations should receive the scan as well unless you typed the other email address incorrectly.
    • You can also just email it to yourself and forward it to your intended party later on. This is recommended as the printer provides no confirmation as to if your scan sent or not.

  11. When you are finished typing in all email addresses click “ok”. Then if your paper that you want to scan and email is loaded click “start”

Thats it. You wont receive any confirmation of the printer that it sent, but if you sent it to yourself just check your email to be sure.
